Book a credit note directly from an invoice
You can apply a credit note directly to an unpaid invoice, right from the invoice interface itself.
- Open the relevant invoice.
- Go to the Incoming payments and credits tab.
- Click on the Create credit button.
- The system will then ask you to select the creation method:
- By line item selection: to credit specific items/services from the invoice.
- By fixed amount: to enter a lump-sum credit amount.
- Save: the credit note is automatically generated and applied to the invoice.
Where can I find the linked invoice?
If you open the newly created credit note and go to its Payouts and invoices tab, you will find the number of the associated invoice.
Accounting date: The current date (the date on which you perform the action) is taken into account for the accounting record of the credit note, not the date of the original invoice.
Create a credit note and apply it to an invoice
bexio allows you to create a credit note and apply it directly to an open invoice for the same customer.
Create the credit note
- Go to Sales ➔ Credit notes ➔ Create new credit note.
- Select the correct contact
Choose the relevant contact so that bexio can automatically detect their open invoices. - Enter the required information:
- The line items
- Amounts and VAT rate
- All other necessary information
- Save the credit note.
Apply the credit note to an invoice
There are two scenarios depending on which document you are currently using:
Scenario A: You are on the credit note
Once the credit note is saved, if the customer has open invoices, a yellow banner (pop-up) will automatically appear at the top of the screen.
- Click the button provided to directly apply the credit to the open invoice.
Scenario B: You are creating or viewing an invoice
If you open/create an invoice for a customer who already has an outstanding credit note or credit balance:
- A "+ Book credits" button appears at the top of the invoice.
- Click it to automatically apply the credit note (or available balance) to this invoice.
Where can I find the details of the applied credit?
Go to the invoice under the "Incoming payments and credits" tab to view the exact amounts that have been credited.
Book a credit note via "Enter a payment (manually)"
You can also link a credit note to an invoice using the manual payment assistant:
- Sales ➔ Other ➔ Enter payments (manually).
- In the Search options section, search for the transaction by entering an invoice number or contact name.
- In the results list, locate the desired credit note.
- In the Options column (on the right), select the invoice to apply the credit to from the drop-down menu.
- Click the floppy disk icon to save your choice.
- Click Post payment to confirm the credit deduction.
Refund a credit note directly to a customer
If you have issued a credit note and wish to refund the amount directly to your customer (e.g. by bank transfer), two steps are required: recording the refund in accounting and executing the payment.
1. Record the payout (accounting entry)
- Open the relevant credit note.
- Go to the outgoing payments and invoices tab.
- Click the + New outgoing payment button.
- Enter the date, amount, and the bank account used, then click save.
2. Execute the bank transfer
You can refund your customer in two ways:
- Directly from bexio: Go to Banking ➔ Outgoing payments ➔ Create manual payment. Enter the customer's bank details, then transfer the payment order to your bank.
- From your e-banking: Perform the bank transfer directly from your banking institution's online portal.
Create a credit note from a contact
You can record a credit note directly for a specific contact to apply it to an invoice at a later date.
- Go to Contacts, then select the relevant customer.
- Go to the Finances tab and click the Show account button.
- (This view lists all incoming and outgoing payments as well as the financial history for this customer).
- Click + Customer entry at the top right.
- Enter the credit note details (amount, account allocation, etc.), then save.
Once saved, the credit note is recorded as an available credit balance on the customer's account and can be applied to an open invoice later.
