In bexio, every contact is associated with two distinct roles: the Contact Partner and the Owner. Although these two fields are often filled by the same user during creation, they serve different functions.
Summary:
The role of the "Contact Partner"
The role of the "Owner"
The role of the "Contact Partner"
The Contact Partner field is primarily an internal communication and identification tool.
- Automatic assignment: By default, this is the user who entered the data. If you create a contact, the system automatically designates you as the contact partner.
- Internal and external use:
- Internal: It allows for quick identification of who created or manages the file.
- External: The contact partner can appear in the header of your documents (invoices, quotes) to indicate to the customer who their primary contact person is within your company.
- Contact partner without login: It is not necessary to be an active user on bexio to be a "Contact Partner". You can designate colleagues who don't have login rights.
The role of the "Owner"
The Owner field is essentially related to data security and visibility.
- Permission Management: This field controls who can view or modify data if you are using restricted access rights.
- Visibility: If a user has the "View own contacts" permission, they will only be able to see records where they are explicitly listed as the Owner.
- Assignment: As with the contact partner, the creator is automatically designated as the owner when entering a new contact.
