You can easily create purchase bills in bexio directly from your existing orders. This saves valuable time and automatically links the documents. This article explains how to proceed and what to consider for cancellations or adjustments.
Step-by-Step Guide
- Open the desired order in bexio.
- Click on the option on the right side to create a purchase bill from it.
- Select the desired items and their quantity.
- Check the dates: The Date field corresponds to the invoice date of the purchase bill. The Payable By field is the payment due date.
- Click Save. The purchase bill is automatically created in Draft status and you can continue processing it as usual.
Tip: Correctly record an order
Ensure that you select the correct expense account and the appropriate VAT when placing the order. This significantly simplifies the subsequent processing of the generated purchase bill.
Good to know: Automatic document flow and control
The documents are automatically linked in the document flow. You do not need to make any further settings, and seamless traceability is ensured at all times.
In addition, you can directly see in the order how many items have already been invoiced. This makes it easier to check whether you have indeed recorded all items as a purchase bill.
Important: What happens upon deletion or cancellation?
- Deleting a purchase bill: If you delete a purchase bill, it is subsequently no longer possible to create a purchase bill from the order again. We generally recommend never deleting purchase bills, as the numbering sequence is not reset and traceability is lost.
- Canceling an order: If you cancel an order, no purchase bill can be created from it. However, an already created purchase bill is not automatically canceled. You must do this manually directly in the corresponding purchase bill.
